Clusters
A "cluster"
describes two double rooms or two apartments adjacent to each other.
On-Campus
As
in 2005-06 clustering will be allowed for two double rooms. To cluster,
take the four random numbers in your group, add them up, and divide
by two. This number will determine the time slot when your group should
go to the Chambers Gallery. See the Lottery Night & Room Selection
Schedule for more information. When you choose your rooms as a cluster,
you will be required to choose rooms on the same floor, unless none
are available at the time your group is choosing rooms. Clusters will
be subject to the same guidelines as Patterson Court Residence Hall
Quotas (see Patterson Court).
Co-Ed
Co-Ed clusters are
allowed for two double rooms. The cluster numbering is
the same as stated above. A Co-Ed cluster consists of one double room
of two men and one double room of two women. The two-room clusters will live on separate floors
or sections of a residence hall. In Tomlinson, co-ed clusters cannot share
the same bathroom.
Financial Standing
Students with outstanding
balances on their January billing statement will neither receive lottery
numbers, nor participate in lottery until full payment is made.
Students must be
in good financial standing to obtain off-campus permission or get a
room assignment. The Business Office will review all student accounts
and communicate to the Residence Life Office those students who have
outstanding balances. Accounts are considered to have outstanding balances
if full payment has not been received by Friday, February 17th. If your
lottery number is blocked on the RLO Lottery web site, check with the
Business Services Office to find out why. As accounts are cleared, the
web site will be updated. Some students may have pending financial aid
funds that have not been applied to their accounts. If this is the case,
the student should contact the Financial Aid Office.
Check
your account balance.
Junior Year Abroad (JYA)
The Residence Life
Office must have on file a Proxy Consent Form for each student who is
JYA or on leave, which gives permission for another student to act on
his/her behalf during lottery. Students chosen to act as proxies have
co-signed this form and take full responsibility for participating in
the lottery process. The Residence Life Office cannot be held responsible
if the proxy fails to fulfill that responsibility. JYA students may

Lottery Night (Double and Suite Room Sign-Up, or Phase V)
On Lottery
Night, tables will be set up showing a floor plan for each building
as well as an assignment roster. Students will be grouped in pairs by
lottery number total to select their room. (See Lottery Numbers and
Room Selection Schedule). Students are responsible for being in the
900 Room (Single Rooms) or Chambers Gallery (Double or Suite Rooms) no later than the start of their assigned
time, or having a proxy acting on their behalf present at this time.
Late arrivals will select rooms at the beginning of the next time slot.
To select a room,
you must have been assigned a lottery number, and either
a. be present during
the room sign-up with your CatCard; or b. have your future roommate(s) bring your Lottery Absentee Form with him/her to sign up for
your room. (If another student presents your I.D., we will conclude
that you have entrusted this person with choosing your room assignment).
NOTE: Residential
Staff, students with medical/physical needs, students assigned to apartments,
single rooms, and those with off-campus
permission do not need to go through this phase of the process.
NOTE:
Students choosing to live in Tomlinson
for 2006-2007 who have permission for early arrival in August (fall
athletes, peer mentors etc) will NOT be able to move in to Tomlinson
until Friday, August 11th. Tomlinson residents approved for early
arrival must make arrangements to reside with another student in another
residence hall or off-campus accommodation before August 11th.
Lottery Number
Students currently
enrolled and in good financial standing with a projected return for
Fall 2006 will receive a randomly assigned lottery number. Those students
not in good financial standing will have their number "blocked" and
will be unable to participate in lottery (including Off-Campus applications)
until their balances are cleared.
If your financial
or academic status blocks your lottery number, you will be offered housing
only after everyone else has participated in room selection. You may
not receive off-campus permission with a blocked lottery number. Your
name will be added to the Fall 2006 wait list. You may not exchange
or "give" your number to another student.
Keep in mind that
Lottery deadlines are firm, and will not be extended for students who
are unable to participate due to an outstanding balance. Lottery numbers
are determined by class status as reported by the Registrar's Office.
If you believe your class status is incorrect, you must address this
with the Registrar BEFORE you can participate in lottery.
Rising Seniors #1-500
Rising Juniors #501-1000
Rising Sophomores #1001-1500
Roommate pairs add
their numbers together, which corresponds to a designated time slot
during which they select their rooms (see Room Selection Schedule).
Pairs will be assigned rooms beginning with the lowest combined total.
If two pairs have the same total, the pair with the lowest individual
number will be assigned first.
Martin Court Apartments and RLO Houses (See application and
floor plans)
Martin Court is comprised
of six apartment buildings occupied primarily (though not exclusively)
by seniors. (See description and guidelines.)
RLO Houses and the RLO Town House units will be selected during the
Martin Court Selection process.
NOTE: All
Martin Court Buildings and the RLO Town House units are subject to the Residence Hall Quotas (see
Residence Hall Quotas). No co-ed roommate assignments for individual
apartments or houses are allowed. ALL STUDENTS on each apartment application must
be in good financial standing or the apartment application will not
be processed.
Please keep in mind
that if more than two (2) residents of an apartment drop at any point
during the year, Residence Life reserves the right to relocate any remaining
students.
Martin Court Apartments
are assigned during Phase I and Phase II of the lottery:
Phase I
Only 5-person apartments and houses will be assigned during this phase. Only applications
consisting of all rising seniors will be processed first. Mixed-class
groups are also welcome to apply but will be processed after all Senior-Only
groups are assigned. Applications will be available at the Residence
Life Office and must be returned promptly. See lottery
timeline for application due date and date results will be posted.
Please note: Prompt
arrival is essential. 5-Person Apartment Selection (MCF) will be
held in the Chambers Gallery. Students are responsible for
arriving in Tomlinson on time or having a proxy acting on
their behalf present at the selection time. Doors will be locked after
the selection process begins. Late arrivals will select rooms last,
after all groups who arrived on time. See lottery
timeline for selection times, dates, and locations.
Phase II
Senior-Only groups will be processed first for 4-Person apartments,
houses and town house units.
Mixed-class groups are also welcome to apply but will processed after
all Senior-Only groups are assigned. Phase II applications will be made
available in the RLO. See lottery timeline
for application availability date and date results will be posted..
4-Person Apartment
Selection will be held in the Chambers Gallery. Students are
responsible for being in the Gallery no later than
the start of their assigned time, or having a proxy acting on their
behalf present at this time. Late arrivals will select rooms at the
beginning of the next time slot. The 4-Person Apartment Schedule will
be emailed to applicants by RLO. See lottery
timeline for Phase II schedule information.
Any remaining
5-person apartments from Phase I will be also posted during Phase II to mixed-class
groups after all Senior-Only groups are processed. After Phase II is
completed, a list of available apartments will be posted at the Residence
Life Office. Any remaining 5-person apartments from Phase I will be
posted. See lottery timeline for posting

How must the
application be filled out?
The apartment application must include FULL names (not nicknames) as
well as each applicant's ID number, bedroom assignment, and be initialed
by each resident that the Lease Agreement has been read. Groups planning to cluster must
also indicate this on their application and designate the names of the
group with which they are clustering. If one of your prospective roommates
is not here this semester, s/he needs to have completed a PROXY CONSENT
FORM at the Residence Life Office allowing his/her proxy to act on his/her
behalf. See JYA STUDENTS for more information.
How will groups
be assigned to the apartments and RLO Houses and Town House units?
All Senior Groups will be assigned apartments beginning with the lowest
combined total of random lottery numbers. If two groups of four or five
students have the same total, the group with the lowest single individual
number will be assigned first. Students will be assigned bedrooms according
to the apartment application. Students changing rooms after assignments
are posted will be charged a $50 room change fee, per person. Students
should select their apartment group carefully as no room changes to
a new apartment will be accepted before September 4th, 2006.
How many apartments
are there?
There are 62 four-person apartments and 18 five-person apartments. Residence
Life staff will be assigned up to seven (7) of those apartments. Students
currently living in Martin Court must reapply to live there each year.
A list of available apartments for Phases I and II, as well as representative
floor plans and general exterior drawings will be attached to the Martin
Court Application.
What if an
apartment becomes available?
Available apartments will be reassigned to applicant groups that did
not initially receive an apartment based on lowest lottery number totals.
Off-Campus Permission (Phase III)
Davidson
College has a mandatory residency policy [2005-06 College Catalog] which
requires students to obtain permission from the Residence Life Office
before living off-campus. The number of students granted permission
is determined by how many students are required to fill all on-campus
facilities. The college will not grant off-campus permission to a student
if it results in a vacancy on campus. Students living off-campus without
permission will be billed the double room rate for one semester.

meeting for all students applying for Off-Campus permission. See
lottery timeline for date, time, and
location.
Phase III: Any
rising sophomore, Junior or Senior
may apply for Off-Campus permission. Students must fill out an application,
which is available at RLO. Applications will be considered in lottery
number order. Students may apply for off-campus permission as a cluster
of up to five people. Their applications will be processed based on
the average of their lottery numbers. See lottery
timeline for application availability dates and deadlines for
off-campus permission.
NOTE: Any students
applying after the deadline will be placed on an Off-Campus wait list
based on the date and time their late application was received. Students
on the wait list must continue through the lottery process.
What if I
will be on-leave in the fall?
Students who know they will be away from campus during the fall and
at the time of lottery may not participate in the regular lottery process
(see ON LEAVE section). Since we anticipate having more than enough
bed spaces in the spring, students returning to campus in the spring
should plan on being required to live on campus. Students who sign a
lease and are not given off-campus permission will be held responsible
for the cost of on-campus housing (one semester double room rate).
How many students
are given off-campus permission?
Each year, the number of students granted permission to live off-campus
is contingent on several factors. These include the projected size of
the new entering class, the size of the departing class, rooms taken
out of activity, and the number of students projected to be spending
fall semester away from Davidson. Contact the Residence
Life Office for more information. Off Campus permissions are
given incrementally throughout Lottery until on campus beds have been
sufficiently filled.
How does the
process work?
Students applying to live off-campus will be granted permission by order
of lottery number. Students who apply as a cluster of up to 5 students will
use the average of their lottery numbers.
Are there
any requirements?
Students seeking Off Campus permission must attend a mandatory informational
meeting. (See lottery timeline for
date, time, and location.) Brochures outlining Off Campus policies and
procedures will be available at this meeting and at RLO. Students who
do not attend this meeting may lose off-campus permission.
What if I
don't receive permission?
You will be expected to participate in the rest of the lottery process.
Students living off-campus without the permission of the Residence Life
Office are charged one semester's double room rent.
What if I
choose not to participate?
Choosing not to participate in lottery puts the student on the wait
list for on-campus housing. It does not release any student to live
off campus.
On-Leave
Students
who are going on leave for the fall semester will NOT be allowed to
participate in the lottery process. Instead, a Housing Application Form
for the following spring must be completed in the Residence Life Office.
Each student is automatically placed on the wait list provided s/he
is in good financial and academic standing with the college. (See lottery
timeline for On-Leave application deadline.)
In addition to the
Housing Application, all students must also have their on-leave form
signed by a Residence Life Office professional staff member, and a copy
of the on-leave form will be kept on file. The Residence Life Office
will use the date and time of signature on the Spring Housing Application
to determine the student's place on the wait list. Students participating
in a Davidson program must also turn in an "Approval for Off-Campus
Davidson Program" form signed by their advisor and the Study Abroad
Office.
Students returning
to campus in the spring should anticipate being required to live on
campus. It is unlikely that many students returning from on-leave will
be granted off-campus permission.
During the lottery
process, some students may finalize their fall semester plans while
others are waiting to be accepted in programs through other schools.
If a student secures a room for fall semester and then determines s/he
will be away for the fall, the student forfeits any claims to the room,
as well as a portion or all of their tuition deposit. A remaining roommate
is allowed to retain the room, but will likely be assigned a new roommate
for the year.
Every effort is
made to accommodate the requests of students with vacancies and returning
students needing housing. A student with a vacancy in their double room
at any point in the academic year cannot keep the room as a single.
The Residence Life Office reserves the right to assign a student to
that space at any time.
Options by Gender
In Martin Court,
no co-ed roommate assignments for individual apartments are allowed.
See list of housing options by gender.
Residence
Hall Quotas
No hall (i.e. building
wing, floor, or side of a Martin Court building) may have more than
50% of the space allocated to each gender occupied by members of the
same Patterson Court organization.
Room Changes
Once you have signed
up for a room during room selection, you may not change it until late
spring. (See lottery timeline for
schedule.)
Martin Court residents
should select their apartment group carefully as no room changes to
a new apartment will be accepted before September 5th.
All students changing
rooms must complete a Room Change Form, and will be charged $50.00 per
person to cover administrative costs. Roommates of those students changing
rooms must give their approval of the change. Please make sure your
roommate is "right" for you well in advance of room selection. Room
changes must be approved and completed in person at the Residence Life
Office prior to the physical change.
Students in single
rooms are not permitted to "switch" room assignments with other students.
The Residence Life Office maintains a single room wait list throughout
the academic year.

Roommate Pairs
In order
to choose a double room, you MUST have a roommate. Roommate pairs should
add their lottery numbers together to determine their lottery number
total. If two or more roommate pairs have the same totals, then the
pair with the lowest individual number will be accommodated first. Can't
find a roommate? See STUDENTS WITHOUT ROOMMATES.
Students
Without Roommates
The best way to find a roommate is to ask your friends early,
before they make other commitments. If you do not have a roommate and
are having difficulty finding one, you can visit the Residence Life
Office. RLO will maintain a list of students seeking roommates. Stop
by to fill out an information sheet in order to be added to the list.
Check with your Resident Advisor or Hall Counselor to see if they know
of other students looking for a roommate. Many students have applied
to room with an international student and have been quite pleased with
their experience. You may want to consider this option if you are seeking
other possibilities for a roommate.
Students without
roommates will be placed on a wait list in lottery number order after
those who have gone through lottery with roommates
Room Selection Schedule

PHASE IV:
(Single Rooms)
Students who wish
to apply for a single room should do so during the Phase IV
"mini-lottery" for single rooms. Phase IV selection will be held in the
900 Room beginning at 6:00 PM. All students
wanting a single room must arrive on time.
A list of available
single rooms will be posted at the Residence Life Office. Similar to
Lottery Night, students (or their proxy) will choose rooms in lottery
number order. Prior to selection night, some singles may be assigned
to Residential Staff or students with special medical/physical needs.

PHASE V: (Double
& Suite Rooms) -
Please arrive at the Chambers Gallery 15-20 minutes prior to the scheduled
time in order to be registered before you are lined up according to lottery number.

Wait List
Beginning on Lottery
Night, the Residence Life Office will keep a wait list for on-campus
housing for students who did not get a room during the lottery process.
The order of this wait list will be as follows:
1. Roommate pairs
with lottery numbers (by lottery number total)
2. Students with no roommate but with a lottery number (by lottery number)
3. Roommate pairs without lottery numbers (by date)
4. Students with no roommate and no lottery number (by date)
5. Conditional admitted/readmitted students
6. Transfer students
7. Students assigned rooms, but wishing to relocate ($50 room change
fee applies)
Note: Any
students receiving a double room assignment in Phase V who are interested
in any other double rooms that may open up during the summer, may request
being added to the Wait List. (See lottery
timeline.) The Wait List will be compiled based on date and
time RLO receives notification of both students' request. There will
be a change in room rate if a suite is assigned and the $50 room change
fee applies to each student receiving a new assignment.
Note:
Any student added to the wait list by request may risk being added behind
the transfer students who have been admitted to Davidson and have requested
housing.
What if I
am on the wait list for on-campus housing?
Once lottery is over, if it is determined that an unusually high number
of students are wait listed, the Residence Life Office will go to the
Off Campus Wait List and grant permission to those students to live
off-campus. Students will be offered the opportunity, but not required,
to live off-campus.
By June 15,
RLO will determine the number of students from the wait list who can
be guaranteed housing for the upcoming academic year. Those students
released to live off-campus may stay on the on-campus wait list, but
there will be no guarantee of housing. As vacancies arise, we will assign
housing to students on the waitlist as it becomes available.
Spring Semester
The Residence Life Office will keep a list of students who will return
to Davidson in the spring and need housing. While there is no way to
predict the number of vacancies for students returning in the spring,
ordinarily some spaces open. Students will be placed on this list in
the order in which they complete a Spring Housing Application Form for
spring.. We will make every effort to honor both the requests of the
returning students, as well as of the current students with vacancies.
Fall Semester
Should the list of students applying to live off-campus exceed the number
to be released, a wait list will be started based on lottery numbers.
Students on the wait list must continue through the lottery process.
There are no assurances made that they will later be allowed off-campus.
As factors governing
off-campus numbers develop, students on the wait list may receive permission
later in the process at two more points. The first will be around May
1st when the size of the entering class is more accurately pinpointed.
The second will be around June 15, at which point the only students
kept on the housing wait list will be those for whom we can guarantee
housing. Students on the wait list from the lottery process will be
offered permission before those students who are on leave in the fall.
