The area of Central Services provides copying and mail services for the college’s students, faculty, and staff.  Central Services is located on the lobby level, across from the Bookstore, of the Alvarez College Union.  The campus U.S. Postal Services Contract Station, the Copy/Print Center, and the Mail Center all comprise the operations of Central Services.

Sending Copy/Print Job Requests:

  •       Copy jobs can be brought to the Copy Center or sent over by campus mail.  A completed Copy Request Form (see Forms section) should accompany the information to be copied.  While a 24-hour lead time is strongly encouraged, our staff will attempt to complete urgent or unexpected copy jobs the same day they are submitted.  An email will be sent or a phone call made to the sender upon job completion.

  •       Copy jobs can also be sent electronically to “Bizzie”, the Konica biz hub Pro 1050, from the sender’s computer over the campus network.  Superior print quality, especially with graphics and photos, is achieved electronically and can also be quicker to process.  The document to be copied should be stored as a Microsoft ‘Word’ file.  This file is then sent as an email attachment to Bizzie’s email address:  csbizhub@davidson.edu  Along with the attachment, the “Copy Request Form” also needs to be completed with instructions and sent.  Note:  Please send the document in the simplest format possible.  The Copy/Print Center staff will format the document according to the instructions given on the “Copy Request Form.”  Again, an email will be sent or a phone call made to the sender upon job completion.

 

Post Office Box Keys:

New faculty, staff, and students are given one key at the beginning of the academic year at no charge.  If a key is lost or stolen, the replacement key costs $25.00 and may be purchased at the campus post office.

 

USPS/Campus Mail Delivery Schedule:

USPS delivers the mail to campus twice daily, between 5:30 AM – 6:00 AM and 9:30 AM – 10:00 AM.   Mail is delivered to designated campus offices every morning, along with a partial delivery route every afternoon.  These mail routes also include the pick-up of USPS mail and campus mail. The morning mail route begins at 9:45 AM and the afternoon route at 1:30 PM.  Outgoing mail, both USPS and campus mail, may be dropped into the mail slots at the Mail Center.  Also, outgoing mail may be placed in the drop boxes on the first floor of Chambers, near the south elevator/stairwell.  This mail will be picked up every business afternoon by 2:15 PM to ensure pickup by the USPS from the Mail Center between 4:30 PM and 6:30 PM.

 

Parcel Delivery:

UPS, Federal Express, and DHL packages are delivered to the campus warehouse every business morning.  These packages are then delivered to faculty and staff throughout the day.  All student packages are available for pickup at the campus post office. Notification cards are placed in student mailboxes.  All packages sent via USPS should be picked up at the post office.  For large packages and print jobs (over 25 pounds), please call extension 2822 to make arrangements for office delivery.

 

College Mailing Addresses:

The correct USPS mailing address for students, faculty, and staff is:

                     Name

(XXXX is the individual (for faculty and students) or departmental (for staff) box number

 

Metered Mail:

  • Davidson College holds a permit to operate postage meters and must comply with the USPS regulations as follows:

    • All mail to be metered must have a complete Davidson College return address.  Metered mail related to events co-sponsored by Davidson College and an outside organization must bear a Davidson College return address.

    • All metered First Class mail should bear the endorsement “Return Service Requested.”  USPS provides the address correction or reason for non-delivery on the mail piece and returns the entire mail piece to the sender.  These address corrections allow departments to update their mailing lists.

    • Folded self-mailers need to be folded at the bottom and tabbed at the top.  Please do not use staples.

    • Mail to be metered – letters, post cards, large flats – should be sorted and bundled separately.  The Mail Center has letter trays and tubs available for help in preparing large mailings.T

    • he postage meter machines can seal letter-size envelopes and some larger envelopes if the flap is at the top of the mail piece.  These flats must be nested to process properly.  Heavy, flat-sized envelopes, as well as envelopes which seal on the side, must be sealed before coming to the Mail Center.

Campus Mail:  

  • Intra-campus mail should include the recipient’s name and the department name (not building).  For students, please use their campus box number.

  • Standard intra-campus envelopes should be used for campus mail.  Used envelopes are sometimes available in the Mail Center.  Additional envelopes may be purchased from OfficeMax (Product # P2OM97233).  If other types of envelopes are used for campus mail, please print “CAMPUS MAIL” in the upper right hand corner since it could be mistaken for USPS mail.  Also, the sender’s name and department should be written in the return address location.

Personal Mail (Outgoing):

Outgoing personal mail (letters, bills, etc.) is handled along with campus mail.  If van space permits, outgoing personal packages may also be picked up on the mail route; otherwise, they need to be brought to the Mail Center. 

 

Personal Mail (Incoming):

Due to the large volume of mail which is handled daily in the Mail Center, please have your personal mail, magazines, and non-business related catalogs and parcels sent directly to your home address, not a campus address.

 

Faculty/Staff Mailings:

  • There is no charge for campus “stuffings” and mailings.  “Stuffings” are flyers or brochures which are identical and do not contain individual names or addresses.

  • For “stuffings” not related to College business, but sent by employees to students, faculty, and staff, there is a charge of $.25 per piece.  They are boxed within three business days.  If time and staffing levels permit, “stuffings” received by 10:00 AM may be boxed that day for a charge of the current first-class letter postage per piece.

  • For “stuffings” from non-College individuals and businesses (e.g. Dominoes, Ben & Jerry’s), there is a charge of the current first-class letter postage per piece.  They will be boxed within five business days.

Student Mailings:

  • There is no charge for campus mail to individual students and to student groups of ten or less.  All large mailings, such as letters to entire classes or the student body, have a charge of $.25 per piece if the mailings have been presorted by student box numbers.

  • Student organizations will incur a charge of $.10 per piece for “stuffings” and letters presorted by student box numbers.

What is the least expensive way to send my 400-piece mailing?

This is referred to as a “bulk mailing” which automatically gives you a discounted rate.  Please contact the Mail Center at extension 2822 for more information.

 

How long will it take my package to get to its destination? 

It depends on the method of shipping you use, the weight, and how much you wish to spend.  Please contact the Post Office at extension 2239 for more information.

 

Can you help me find the least expensive way to ship packages?

Yes.  We are able to compare pricing of USPS, FedEx, and UPS and then offer you the lowest priced shipping method.

 

Should I insure packages that I send through the USPS?

Only if you can prove the value of the item that you are going to ship.  The USPS only pays for shipping damages if you can provide a receipt to verify the original cost.

 

Will my First Class letter go out today? 

Yes.  All First Class mail is processed same day.

 

Can I pay for postage with my Cat Card?

Yes, we accept Cat Cards as well as all major credit and debit cards, checks (made payable to “Postmaster”, and cash. 

 

Do you have replacement mail box keys?

Yes, for a fee of $25.00

 

Can I pick up a package without my notification slip?

The slip is required for security/identification purposes.

 

Will you get my mail out of my box?

No, we cannot.

 

How soon will the incoming mail be put up?

After two separate morning USPS mail deliveries, the Mail Center staff has it sorted and in the boxes by 11:00 AM each day.

 

Do you forward mail over the Christmas break?

Due to the short length of the holiday, it is not feasible to do so.

 

Do you forward mail during the summer break or if I am studying abroad?

Yes.  Please come to the Post Office and complete the mail forwarding form.

 

Why do we have to use a different mailing address and zip code for UPS and FedEx deliveries?

Despite the college having its own unique zip code (28035), the UPS and FedEx systems will only recognize the town’s zip code, 28036, as the college zip code.

 

How can I send a copy request electronically?

Please refer to the Policies and Procedures section for details.

 

Can my copy request be completed by the end of the day?

We prefer a 24-hour lead time, but will do our best to complete the request by 5:00 PM.  Without advance notice, we are subject to availability of the staff and equipment necessary to complete your request.

 

Can you make special deliveries of large copy jobs?

We will attempt to accommodate all requests, especially if a 24-hour notice is given.

 

Are your prices comparable to outside vendors?

Yes.  We set our pricing to cover the cost of running our operations.  We periodically review pricing in the area for copying, including color, and other services to ensure that our pricing is at or below the market level in the area.
